Refrigerant Log

A Refrigerant Log is a detailed record documenting all refrigerant transactions for HVAC systems, including quantities received, amounts used, recovered, recycled, and disposed, required by EPA Section 608 regulations. This log serves as the primary compliance document for HVAC contractors and service technicians.

Required Documentation

The log must record the date, system location, refrigerant type and quantity, technician name, work performed, and the disposition of recovered refrigerant. EPA Form 413 (Refrigerant Tracking Report) provides a standard format. Entries must be made contemporaneously with service work, not retroactively. Logs must distinguish between virgin, recycled, and reclaimed refrigerants.

Retention Requirements

Records must be maintained for a minimum of three years and made available during EPA inspections. Digital and paper logs are acceptable, provided they prevent alteration and remain legible. Records should identify reclamation facilities used, ensuring refrigerant reaches licensed processors meeting EPA standards.

Compliance Significance

Accurate refrigerant logs demonstrate Section 608 compliance and provide evidence of responsible environmental stewardship. Incomplete or falsified logs result in substantial EPA penalties. Regular log reviews help identify operational inefficiencies, such as excessive refrigerant losses suggesting system leaks requiring repair.
