Refrigerant Tracking

Last updated: March 11, 2026

Refrigerant Tracking is the systematic monitoring and documentation of refrigerant movements throughout its lifecycle, from manufacture and distribution to service use, recovery, recycling, and final disposal, as mandated by EPA regulations. This process ensures accountability and prevents unreported emissions.

System Components

Tracking encompasses purchase orders, delivery receipts, service records, recovery documentation, and reclamation facility reports. Each transaction must be recorded with dates, quantities, personnel identifiers, and equipment information. The EPA’s reporting requirements mandate that large service companies file annual Refrigerant Tracking Reports detailing all transactions exceeding specific thresholds by refrigerant type and equipment category.

Regulatory Framework

Under Section 608, contractors must track refrigerants to prevent illegal venting and ensure proper recovery. Quarterly and annual reporting requirements apply to companies servicing substantial equipment quantities. Tracking data helps EPA monitor market compliance with phase-down mandates and identify suspicious activity indicating potential violations.

Operational Application

Effective tracking systems use integrated management software linking purchase records to service logs and recovery documentation. Digital platforms reduce errors and simplify regulatory submissions. Tracking data reveals patterns in refrigerant consumption, enabling businesses to optimize procurement and identify system inefficiencies requiring attention.
