Service Agreement

A service agreement is a comprehensive contract defining the scope of HVAC support services, response times, and compensation terms between a service provider and customer. Unlike basic maintenance agreements, service agreements typically include emergency response provisions, parts replacement coverage, and labor hour commitments. These agreements establish service level expectations and are commonly used by commercial facilities and property management companies requiring guaranteed response availability.

Agreement Components

Service agreements specify emergency response times, typically within 2 to 4 hours for critical systems, and define which components or repairs are covered versus excluded. Coverage limits, deductibles, and annual maximum claims are clearly outlined. Most agreements include priority scheduling for contract holders and specify technician certification requirements, often requiring EPA Section 608 certification for refrigerant work.

Commercial Applications

Service agreements are essential for facilities where HVAC downtime impacts operations or safety, including hospitals, data centers, and manufacturing plants. These contracts typically cost $2,000 to $5,000 annually for commercial systems, including scheduled maintenance plus emergency response coverage. Commercial agreements often include performance guarantees with uptime requirements of 99 to 99.5 percent, with service credits provided if response time commitments are not met.
